2. Collection of Personal Data From Participants
Upon confirmation of participation at the conference, the association will collect the following personal data:
- First and last name;
- Name of institution or company;
- Telephone number;
- Email address;
- Date of registration.
This personal data is required for the organization of the event on the basis of a participant list. This includes, in particular, the processing of registrations, determining the total number of participants, communicating with participants, and access control. During the event, the participant list will also be used to offer you lanyards printed with your first and last name and the name of your institution or company. Use of this is voluntary.
In addition, the participant list serves the purpose of hospitality expense accounting in accordance with § 4 (5) No. 2 EStG (German Income Tax Act).
Your data may be transferred to potential co-organizers, who will also use it for event organization. Your personal data will not be passed on to third parties for any other purpose, in particular for commercial purposes.
The processing of personal data is based on a legitimate interest pursuant to Art. 6 (1) (f) GDPR. The data is necessary for the organization of the event and, in particular, for the implementation of ticket control. Both participation and the use of lanyards are voluntary. We therefore assume that the processing of data is in your interest.
For the specific purpose of hospitality expense accounting, the relevant legal basis is Art. 6 (1) (c) GDPR in conjunction with § 4 (5) No. 2 sentence 2 EStG (German Income Tax Act). Keeping a list of participants is a legal requirement in this respect.
3. Recipients or Categories of Recipients of Personal Data
The association uses service providers (known as contract data processing) to provide services and process your data where necessary. The service providers process the data exclusively on the instructions of the Digital Lending Association and are obliged to comply with the applicable data protection regulations. The processors have been carefully selected and only have access to your data to the extent and for the period of time necessary to provide the services.
Participants‘ personal data is collected and managed by an external service provider after clicking the registration button and being redirected via hyperlinks. Please also refer to the privacy policy provided there.
In addition, Zoom’s privacy policy applies in the event that the event is held online.
4. Data and Use of Our Website
When you visit our website, we temporarily store so-called usage data on the basis of Art. 6 (1) (f) GDPR. We use the usage data for statistical purposes, to improve the quality of our website, and for security purposes. We also use this information to enable access to our website, to monitor and administer our systems, and to improve the design of our websites. These purposes we pursue also constitute a legitimate interest within the meaning of Art. 6 (1) (f) GDPR. Specifically:
- the page from which the file was requested;
- the name of the file;
- the date and time of the query;
- the amount of data transferred;
- the access status (file transferred, file not found);
- the description of the type of web browser used;
- the IP address of the requesting computer, truncated by the last three digits.
The data is thus stored anonymously. The creation of personal user profiles is therefore excluded.
5. Cookies
Cookies are small files that are stored on a visitor’s hard drive. They allow information to be stored for a certain period of time and identify the visitor’s computer.
On our websites, we use only so-called session cookies on the basis of Art. 6 (1) (f) GDPR, which store data for technical session control in your browser’s memory. The purposes we pursue also constitute a legitimate interest within the meaning of Art. 6 (1) (f) GDPR. This data is deleted at the latest when you close your browser.
You can configure your browser so that it does not accept cookies or so that you receive a warning message when cookies are sent.
6. Duration of Data Storage
We only store your data for as long as it is necessary for the implementation and processing of the conference and there are no retention periods that prevent its deletion. This is generally the case once the event has ended. For paid events, the storage period is determined by the statutory retention periods.
This does not apply to your first and last name and your email address if you have consented to receiving information about future events. In this case, your data will only be deleted if you revoke your consent or if our messages to your email address are permanently undeliverable.
All lanyards that have not been taken by participants will be disposed of after the event has ended. Digital copies will be deleted immediately after the event has ended.
7. Photo and Film Recordings
We take photos and videos at the event for public relations and internal documentation purposes. These may be published on our websites, on social media, and in event-related publications. The legal basis for processing is Art. 6 (1) (f) GDPR. The legitimate interest of the association is to inform the public by reporting on the association’s activities.
If you do not wish to be photographed or filmed, you have the right to object. Please notify the photographer or filmmaker or contact us. The Digital Lending Association is responsible for the creation and processing of the photos and videos.
8. DLA Distribution List With Information About Events and Podcasts
The DLA maintains a mailing list to inform you about upcoming conferences and current podcasts published by the association. This requires personal data: email address, name, and surname.
Personal data is processed on the basis of consent in accordance with Art. 6 (1) (a) in conjunction with Art. 7 GDPR. You can unsubscribe from the mailing list at any time.
9. Rights of the Data Subject

- the right to lodge a complaint with a supervisory authority pursuant to Article 77 GDPR.
If you have given us your consent, you can revoke it at any time with effect for the future.
You can lodge a complaint with a supervisory authority at any time, e.g. with the competent supervisory authority at your place of residence, your place of work, or the place of the alleged infringement, if you believe that the processing of personal data concerning you violates this regulation.
A list of supervisory authorities (for the non-public sector) with addresses can be found here.
